Track staff attendance and leave
Record daily staff attendance, capture leave types, and approve or reject leave requests.
Track staff attendance and leave
Both tools live under HR & Payroll → Attendance & Leave. Keeping them current makes payroll deductions and absence reporting trustworthy.
Staff attendance
Open HR & Payroll → Attendance & Leave → Staff Attendance.
- Click Create.
- Choose the employee, the date, and the status: Present, Absent, Late, Half Day or Excused.
- Record check-in and check-out times if your school tracks hours.
- Choose the method: Manual Ledger, RFID Card Scan, Biometric Fingerprint or QR Kiosk Check-In.
- Save.
The table can be filtered by employee, date range, status and method — useful for monthly summaries and for verifying absence before payroll runs.
If your school uses RFID, biometric or QR devices, entries arrive automatically with the matching method. Use Manual Ledger only for corrections and one-off records.
Leave requests
Open HR & Payroll → Attendance & Leave → Leave Requests.
Define leave types as you go
The Leave Type field has an inline create option. A leave type carries:
- Name — Annual Leave, Sick Leave, Maternity Leave, and so on
- Maximum days per year
- Description for staff
Created types become available on every future request.
Capture a request
- Click Create.
- Choose the employee and leave type.
- Set the start and end dates and write the reason.
- Save. New requests start as Pending.
Approve or reject
On a pending request's row, use Approve or Reject. The request's badge shows the outcome (Pending, Approved, Rejected), and the dates are then treated as authorised absence.
Good practice
- Approve leave before the payroll period closes so absence deductions stay correct.
- Keep maximum days per year realistic per leave type — it is the reference staff use when requesting.
- Use the status filter to clear pending requests in a weekly HR review.
