Create fee structures and issue invoices
Define what each form pays, then generate invoices individually or with the auto-billing engine.
Create fee structures and issue invoices
Fee billing in the workspace has two parts: fee structures (what each form or grade owes) and student invoices (the actual bill per student).
1. Fee structures
- Open Finance → Fee Structures.
- Create a structure: choose the academic year, the form / grade it applies to, and the amount.
- Add fee categories (tuition, levies, activities) if you itemise charges.
Structures drive the auto-billing engine and the invoice form's fee picker.
2. Issue an invoice manually
- Open Finance → Student Invoices.
- Click to create a new invoice.
- Pick the student, academic year and term. The form filters the available fee structures to those matching the student's year and the selected year.
- Select the fee structures to include. The totals calculate automatically; a fee waiver (if configured) applies as a discount.
- Save. The invoice is created with status Unpaid and a unique invoice number.
3. Run the auto-billing engine
For a whole cohort at once:
- On the invoices table, click Run Auto-Billing Engine.
- Choose the billing target (which forms / grades and term).
- The engine creates invoices for every eligible student who doesn't already have an open invoice for that scope.
This is the fastest way to bill a year group on the first day of term.
4. Documents
Each invoice can be printed (Print Invoice on the row). Invoice and receipt layout — logo, colours, payment channels, callout notes — is controlled under Finance → Invoice / Receipt Document Settings.
