Keep student health records and clinic visits
Record medical profiles and immunisations, then log clinic visits with vitals, treatment and referrals.
Keep student health records and clinic visits
Health information is sensitive. Only staff with health permissions can open Health & Safety, and records should be handled in line with your school's data-protection policy.
Medical records
Open Health & Safety → Health Records → Medical Records. Each student can have one medical profile:
- Blood group
- Allergies — the single most important field in an emergency
- Chronic conditions — asthma, diabetes, epilepsy and similar
- Immunisation history — a repeater of vaccine name and date administered
Keep allergies and chronic conditions current — teachers and first-aiders rely on this page when something goes wrong.
Clinic visits
Open Health & Safety → Health Records → Clinic Visits to log every visit to the school clinic or sick bay.
Capture the visit
- Choose the student and record the complaint.
- Capture vitals where taken: temperature and blood pressure.
- Write the symptoms, diagnosis and treatment given.
- Set the status:
- Checked In — just arrived
- Under Active Treatment — being cared for in the clinic
- Admitted to Clinic Ward — staying under observation
- Referred to General Hospital — needs outside care (record the referral destination)
- Discharged — visit closed
Medicines
Where the school keeps a medicine stock, add prescriptions to the visit: pick the inventory item (or type the medicine name), then record dosage, frequency and quantity prescribed. Dispensing from the visit links the medicine to the student's record and reduces clinic stock.
Follow-up
- Filter clinic visits by status to see who is still admitted or under treatment.
- A visit marked Referred should have the hospital name recorded so parents and staff know where the learner went.
- Print or share a visit summary with the parent when they collect the child.
Never record health details in free-text announcement or chat messages — keep them in the medical record and clinic visit log where access is controlled.
